184 Writing guide Structure and layout A formal letter should contain the following elements: your and the recipient’s address (if required by the task), the date , a reference / subject line stating the purpose or topic of your letter, a salutation , the main body , a closing and your signature . Start by introducing the topic and concern of your letter. The main body should be divided into paragraphs to organise all the information. Depending on the kind of letter, you might need to include additional elements , such as a reference to enclosures at the end, to inform the addressee of attached documents, e.g. a CV ( BE ) or résumé ( AE ) in the case of a letter of application . Style and register In a formal letter or email, the language should be factual and polite , the register formal . Do not use contractions (short forms), question tags or colloquial expressions . After the salutation , always continue with a capital letter .
